How It Works

5. Choose your data handling options

Choose how your data will be connected, stored, or refreshed.

Depending on the delivery option you choose.

Recommended: Choose the Retriev hosted Platform if you want a simpler, managed BI experience with hosted dashboards, platform access, monitoring, and optional managed data handling under a single provider.

Choose Power BI BYOL if your company already uses Microsoft Power BI. The customer keeps Microsoft licensing. No hosted storage if stored in the customer's Power BI tenant.

6. Complete onboarding

Provide your data sources, business areas, and Dashboards, KPIs, support packages, add-ons, and initial requirements.

7. Scope confirmation & deposit 50%

We review the setup request, confirm the scope, and begin the project after the initial (50%) deposit is completed.
We prepare the data, build the dashboards, and configure the agreed KPIs.

8. Draft delivery for review

Draft delivery is an initial version of the agreed BI package,
provided for review before final delivery. It may include a
dashboard preview, report structure, sample visuals, KPI
layout, or limited read-only access.

The customer may submit one consolidated review round for minor comments or adjustments within the agreed package scope.

9. Final payment, review round & final delivery

After the draft delivery has been reviewed, the customer confirms final approval of the delivered work and any agreed adjustments. Following approval and receipt of the remaining 50% balance, we apply any agreed-upon adjustments and proceed with final delivery, dashboard activation, or production access.

ReTriev Hosted Analytics Platform

- We provide dashboards on our hosted analytics platform so you can avoid setting up your own BI environment.
- Easy for your team to use, with managed hosting and one point of contact.

Option B
Power BI in your environment

- We build and deliver the dashboard solution inside your own Microsoft Power BI environment. Your company keeps control of the Microsoft tenant, licenses, users, permissions, and data access.
- Bring Your Own Licenses — Power BI licenses are purchased and managed by the customer.

Option C
Scheduled reporting delivery

Managed Data Warehouse- We provide structured KPI reports, dashboard snapshots, and executive summaries on a scheduled basis, delivered directly by email.
- Best if your team prefers scheduled reporting by email instead of live dashboard access.

Data: 1 data source, such as CSV, Excel, database table, or database view provided by the customer.
KPIs: up to 3 agreed KPIs included inside the dashboard.
Dashboard: 1 dashboard page with up to 4–5 visuals, including KPI cards, charts, tables, or trends.
Data preparation & modelling: basic cleaning, formatting, and simple BI structure for 1 selected data source, only where required for the agreed dashboard.
Insights: Brief comments + 2–3 practical recommendations.

A practical starter BI package for businesses that need a clearer view of their key performance areas, using selected data sources, agreed KPIs, and a small set of focused dashboard pages.

Data: up to 2 selected data sources, such as CSV, Excel, database tables, or database views provided by the customer.
KPIs: up to 6 agreed KPIs included across the dashboard.
Dashboard: up to 2 dashboard pages with 6–8 visuals in total, such as KPI cards, charts, tables, trends, or breakdowns.
Data preparation & modelling: basic cleaning, formatting, simple joins, and basic relationships where required for the agreed dashboard scope.
Insights: brief comments and 3–5 practical recommendations based on the dashboard results.

A more complete BI setup for businesses that need to connect multiple data sources, track more KPIs, and get a clearer view of performance across one or more business areas.

Data: up to 3 selected data sources, such as CSV, Excel, database tables, database views, or structured exports provided by the customer.
KPIs: up to 10 agreed KPIs included across the dashboards.
Dashboard: up to 4 dashboard pages with 12–16 visuals in total, such as KPI cards, charts, tables, trends, filters, or breakdowns.
Data preparation & modelling: cleaning, formatting, calculated fields, KPI logic, and simple-to-moderate relationships between selected data sources.
KPI logic: setup of agreed KPI definitions, calculations, and business rules needed for the dashboards.
Insights: dashboard comments and 5–7 practical recommendations based on the results.

An advanced BI package for businesses that need a wider performance overview, more dashboard pages, deeper KPI structure, and a more complete reporting experience across several operational or management areas.

Data: up to 5 selected data sources, such as CSV, Excel, database tables, database views, structured exports, or agreed business files provided by the customer.
KPIs: up to 18 agreed KPIs included across the dashboards.
Dashboard: up to 6 dashboard pages with 20–25 visuals in total, such as KPI cards, charts, tables, trends, filters, breakdowns, and drill-down views where supported.
Data preparation: cleaning, formatting, joins, relationships, calculated fields, and moderate transformations required for the agreed dashboard scope.
Data model: structured BI data model for the agreed reports, including relationships, KPI logic, and reusable measures where applicable.
Dashboard experience: clear dashboard navigation, filters, page structure, and a user-friendly layout for business review.
Insights: dashboard comments, executive-level observations, and 8–10 practical recommendations.

For all packages:

What’s not included: Predictive analytics, machine learning models, complex custom ETL pipelines, managed data warehouse setup, ongoing refresh monitoring, advanced security/governance setup, custom application development, large-scale API integrations, ongoing support, multiple stakeholder workshops, or extensive iterations.
Forecasting and predictive analytics are available as an optional add-on for selected BI projects, and can be added where historical data is available and the project scope supports it.
Review: 1 consolidated review round for minor adjustments within the agreed scope.
Handover: final access upon customer approval and payment of the remaining balance.
Payment: 50% deposit after scope confirmation to start the project. The remaining 50% is due after customer approval and before final delivery or activation.
Prices exclude VAT. VAT, where applicable, will be added at checkout on the invoice.

Option 1

Live Data Connection

Your data stays in your system. We connect to it securely.

We set up a secure read-only connection to the agreed database, table, view, or approved data source.

Customers who want live reporting and prefer to keep their data in their own systems..

The connection remains active as long as the customer keeps the agreed access available.

Option 2

One-time Data Snapshot

We copy the agreed data once and build the dashboard on that snapshot.

We import the agreed dataset into our environment and build the dashboard using that copied data.

This is useful when you do not want to provide live database access, or when the project is a pilot, historical analysis, or fixed-period review.

The imported dataset remains available as long as hosted storage is active for the agreed workspace. The data is a static snapshot and does not update automatically.

Initial data import, basic validation, storage setup, and connection to the agreed dashboard/report.

30 days of post-delivery support for issues related to the original import.

Automatic refresh, repeated imports, changes to the source structure, new data periods, additional data sources, or data rework after handover. ngoing monitoring. Snapshot is static.

Option 3

Managed Data Warehouse

We keep your reporting data clean, organised, and up to date.

We copy, clean, transform, and store the agreed data on a scheduled basis. Your dashboard is refreshed according to the agreed refresh period, such as monthly, weekly, or daily.

This is the best option when you want ongoing BI, recurring reporting, cleaned data, and consistent KPIs without manual exports.

It remains active as long as the managed data warehouse plan is active.

Initial warehouse setup, scheduled data refresh, agreed transformations, refresh checks, hosted storage, and monitoring of the agreed data pipeline.

Ongoing refresh monitoring included while the managed warehouse plan is active.

Continuous manual data review, correction of customer source data, investigation of business data errors unrelated to the agreed pipeline, new data sources, major source structure changes, new dashboards, or work outside the agreed scope.

We manage the refresh logic, transformations, and reporting dataset inside your Microsoft/Azure/Fabric environment, or in our managed environment if agreed.
