Property performance

See occupancy and revenue together

Occupancy, room rate and revenue answer different questions. A fuller property may earn less per room, while higher room rates may coexist with lower occupancy. A management view puts these measures alongside each other, with clear definitions and reporting periods.

Start with a booking or PMS export and the available room-night capacity. The report can compare months, properties and channels if stable identifiers and compatible definitions are available. Guest-level personal data is unnecessary for an initial assessment.

The demonstration below shows a 40-room property. It is built from synthetic monthly figures and contains no guest records.

Questions we can investigate

  • Occupancy, average daily rate and revenue per available room
  • Booking channel mix and cancellation trends
  • Monthly revenue and cost comparison

Useful starting data

  • Stay dates, rooms sold, room revenue and booking channel
  • Available room-nights and property identifiers
  • Cost exports if profitability is part of the question

Start with column names. Remove personal identifiers and confidential values from any example.

What you receive

A scoped dashboard, agreed KPI definitions, data-quality notes, written observations and a documented handover. The Fit Check identifies which questions your available data can support.

Three measures that must agree

Occupancy: 80%

960 rooms sold divided by 1,200 available room-nights in the June example. Room closures and out-of-service capacity need an agreed treatment.

ADR: €135

€129,600 of room revenue divided by 960 sold room-nights. Confirm whether taxes, breakfast, packages and other non-room charges are excluded.

RevPAR: €108

€129,600 of room revenue divided by 1,200 available room-nights. It connects price and occupancy, but it is not a profitability measure.

From performance to interpretation

Channel contribution needs a cost perspective

In the example, online agencies account for 50% of room revenue, direct bookings 37.5% and corporate bookings 12.5%. The channel totals reconcile to €129,600, but those shares do not establish which channel is most profitable.

Commission, payment fees, marketing costs and cancellation treatment would be needed for a stronger comparison. We identify missing information rather than label high-revenue channels as high-margin channels.

A written finding would distinguish evidence from a question

“Agency bookings contribute half of June room revenue before commissions. Compare channel costs and cancellation patterns before changing the acquisition mix.”

The delivery pack includes source assumptions and a concise management memo alongside the dashboard.

Before you begin

Can different properties be compared?

Yes, where room capacity, currency, reporting periods and source fields can be aligned. Property-specific definitions are documented before combining results.

Can you measure profit from booking data alone?

No. Booking data supports revenue and occupancy questions. Profitability also needs agreed operating costs, commissions and allocation rules.

Do you need guest names or contact details?

Not for the initial Fit Check, and typically not for aggregated property analytics. Only necessary fields should be included in an agreed production dataset.

Example project scope

From a room-revenue question to a management review

A focused brief might compare June with the preceding months and ask how occupancy and achieved rates changed. We confirm room closures, available capacity and non-room charges before calculating the measures.

An executive view can later combine accepted property and financial metrics. The adjacent preview uses a separate general operating dataset; it illustrates a reporting format rather than hotel results.

The final scope specifies the question, accepted sources, excluded calculations and the output to be delivered. Any additional view is an agreed extension rather than an implied inclusion in every package.
